1.0 Introduction
These Terms & Conditions apply to all services provided by Öka Healthcare, including physiotherapy assessments, treatments, rehabilitation services, sports massage, classes, workshops, online consultations and any other services offered by the clinic.
By booking an appointment, attending treatment or using our website, you agree to these Terms & Conditions.
We reserve the right to amend these Terms & Conditions at any time. The latest version will always be available on our website.
2.0 Appointments & Bookings
All appointments must be booked in advance via our online booking system, telephone, email or in person.
Payment may be required at the time of booking.
Appointment times include assessment, treatment and clinical note completion.
Please arrive on time. Late arrival may result in a shorter appointment whilst the full appointment fee remains payable.
3.0 Cancellation & Missed Appointments
We understand that circumstances change. If you need to cancel or rearrange your appointment:
Please provide at least 24 hours' notice.
Appointments cancelled with less than 24 hours' notice may be charged at 100% of the appointment fee.
Patients who fail to attend without notice ("Did Not Attend") may also be charged the full appointment fee.
Repeated late cancellations or missed appointments may result in future appointments requiring payment in advance.
4.0 Fees & Payment
Fees are payable at the time of treatment unless otherwise agreed.
We accept major debit and credit cards, bank transfer and other advertised payment methods.
Treatment packages, gift vouchers or prepaid sessions are non-refundable unless required by law.
Packages must be used within the stated expiry period.
5.0 Private Medical Insurance
If you are using private medical insurance:
It is your responsibility to obtain any required authorisation before treatment.
You remain responsible for any fees not covered by your insurer, including policy excesses or declined claims.
Outstanding balances remain payable by the patient.
6.0 Health Information & Consent
By attending treatment, you confirm that:
The information you provide regarding your health is accurate and complete.
You will inform your physiotherapist of any changes to your medical condition, medications or symptoms.
You understand that physiotherapy involves assessment, diagnosis, manual therapy, exercise prescription and rehabilitation.
You consent to treatment after discussing the proposed assessment and treatment plan with your physiotherapist.
You may withdraw your consent at any time.
7.0 Patient Responsibilities
Patients are expected to:
Follow advice and home exercise programmes where appropriate.
Inform their physiotherapist if treatment causes unusual discomfort.
Wear suitable clothing where required.
Treat staff and other patients respectfully.
We reserve the right to refuse treatment where abusive, threatening or inappropriate behaviour occurs.
8.0 Clinical Outcomes
Whilst every effort is made to provide effective treatment, no guarantee can be given regarding recovery times or treatment outcomes. Recovery varies according to everyone’s condition, medical history and compliance with treatment recommendations.
9.0 Health & Safety
Patients participate in treatment and rehabilitation exercises at their own risk, except where injury results from our negligence.
Please disclose any injuries, illnesses, pregnancy or relevant medical conditions before each appointment.
10.0 Chaperones
Patients are welcome to request a chaperone for any assessment or treatment. Please let us know before your appointment where possible.
11.0 Children & Young People
Patients under the age of 16 must attend with a parent or legal guardian unless otherwise agreed.
Patients aged 16–17 may be treated with appropriate consent in accordance with UK law and professional guidance.
12.0 Confidentiality & Data Protection
We take your privacy seriously.
Your personal information is collected, stored and processed in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Clinical information is kept confidential unless:
you provide consent to share it;
disclosure is required by law; or
there is a safeguarding or serious public safety concern.
